SECURITY  Kaseya Quote Manager internal users assigned to the Sales role or Purchasing role must have the Reports check box selected in order to access reports. To manage user roles and permissions, refer to Team.

This article describes options available for customizable quote history reporting in Kaseya Quote Manager.

Quote summary report vs. Quote detail report

A Quote summary report is useful for:

  • comparing quote wins versus losses.
  • reviewing quote data by organization.
  • reviewing quote data by account owner or quote owner.

Quote detail report is useful for retrieving specific data on quoted products and services.

If a quote offered more than one product or service SKU, a Quote detail report lists each SKU as a separate line item. Therefore, a single quote may appear multiple times in a report. That's why a Quote summary report is ideal for retrieving individual quote data, while a Quote detail report is ideal for retrieving quote product data.

Data columns

The following table outlines the columns of data available to include or omit in your quote reports. Columns marked with an asterisk (*) are only available in a Quote detail report.

Column Description
Quote

The quote number. Click the number to open the quote in your Admin Center. Refer to Quotes.

Title

In a Quote summary report, this value is the quote title. Refer to Title in Quoting from the Admin Center.

In a Quote detail report, this value is the description of a product offered in a quote. Refer to Edit the product description in Quoting from the Admin Center.

Date

The calendar date on which the quote was created.

Expiry date

The calendar date on which the quote is or was set to expire. Refer to Expiry in Quoting from the Admin Center.

Owner The Kaseya Quote Manager user who created or was assigned to the quote. Refer to Owner in Quoting from the Admin Center.

Status

The current quote status/result:

  • Draft: not yet sent nor manually marked as sent/declined
  • Sent: sent via the built-in quote email feature or manually marked as sent
  • Viewed: viewed by your customer
  • NOTE  Views by Kaseya Quote Manager internal users are not counted.

  • Declined: lost
  • Won: accepted

Organization

The organization selected to receive the quote. Click the name to open the organization detail page. Refer to Organization in Quoting from the Admin Center.

Organization owner

The Kaseya Quote Manager user selected as owner of the account assigned to the quote. Refer to Owner in Creating and managing organization accounts.

Contact

The contact assigned as the quote email recipient. Refer to Recipient in Quoting from the Admin Center.

Product*

The Manufacturer Part Number (MPN) of a product offered in a quote. Refer to Add product and service offerings to a quote in Quoting from the Admin Center. Click the MPN to open the product detail page.

Brand*

The brand of a product offered in a quote. Refer to Brand in Adding and managing products and services.

Category*

The category of a product offered in a quote. Refer to Category in Adding and managing products and services.

Sub category*

The sub-category of a product offered in a quote. Refer to Category in Adding and managing products and services.

Recurring*

The interval at which the product is scheduled to be sold on a recurring basis: Monthly, Quarterly, or Yearly. Refer to Add a recurring revenue product or service to a quote in Quoting from the Admin Center.

Recurring cycles*

The number of times the product is scheduled to be sold at its recurrence interval.

Quantity*

The quantity of a product offered in a quote. Refer to Qty in Quoting from the Admin Center.

Gross (amount)

In a Quote summary report, this value is the subtotal of all selected products in the quote.

In a Quote detail report, this value is the subtotal of a product offered in a quote, even one that was not selected or purchased.

Cost

In a Quote summary report, this value is the total cost of all selected products in the quote.

In a Quote detail report, this value is the cost of a product offered in a quote, even one that was not selected or purchased.

Refer to Cost* in Quoting from the Admin Center.

Discount

In a Quote summary and Quote detail report, this value is the discount amount ($ or %) applied to the quote. Refer to Apply a discount to a quote.

NOTE  The quote discount (% or $) is different from the % off list price, which is the amount (%) off the recommended retail price.

Profit

In a Quote summary report, this value is the total price minus the total cost of all selected products in the quote.

In a Quote detail report, this value is the price minus the cost of a product offered in a quote, even one that was not selected or purchased.

Shipping

The delivery charge automatically calculated or manually set in the quote. Refer to Control the shipping fee in a quote in Quoting from the Admin Center.

NOTE  This column is not available in a Quote detail report of individual product and service SKUs.

Tax

In a Quote summary report, this value is the combined tax amount on all selected products in the quote.

In a Quote detail report, this value is the tax amount on a product offered in a quote, even one that was not selected or purchased.

Total

The total is the subtotal (gross amount), plus shipping and tax.

In a Quote summary report and the first Total column in a Quote detail report, this value is the total of all products and services offered in the quote.

In the second Total column in a Quote detail report, this value is the total of a product offered in a quote, even one that was not selected or purchased.
